Privacy Policy

Who we are

DoppleDesk (“DoppleDesk”, “we”, “us”) is the seller and operator of the DoppleDesk help desk and ticketing service (“the Service”). For the personal data described in this policy, DoppleDesk acts as the data controller. This policy describes what we collect when you use the Service, how we use it, the legal basis we rely on, and the choices you have. You can reach us at support@doppledesk.com.

What we collect

  • Account info: your name, email, password (hashed), profile photo, and display color, which you enter when you sign up or edit your profile.
  • Workspace content: tickets, comments, templates, portals, and attachments you create inside your workspace.
  • Support requests: messages you send via our support form, including the name, email, subject, and message you provide.
  • Basic product analytics: high-level usage patterns (pages visited, features used, errors encountered) so we can fix bugs and improve the product. We don’t sell this data and we don’t use third-party ad trackers.
  • Operational logs: standard server logs (IP, timestamps, request paths) retained for security and debugging.

How we use it

We use this information to operate the Service: authenticate you, render your workspace, deliver email notifications, process payments for paid plans, prevent abuse, and respond to your support requests. We don’t use your workspace content to train AI models, and we don’t sell or rent your information to third parties.

Sub-processors

We rely on a small number of trusted vendors to run DoppleDesk:

  • Lovable Cloud — hosting, database, authentication, and file storage.
  • Paddle — Merchant of Record for Plus and Pro plans. Paddle handles payment, billing, tax, and invoicing, and collects card details directly; we never see or store your full card number. See Paddle’s privacy policy.
  • Our own email infrastructure on notify.doppledesk.com — used to send workspace invitations, account notifications, and support replies.

Legal basis

Where data protection law (such as the UK GDPR or EU GDPR) applies, we rely on the following legal bases:

  • Performance of a contract, to create your account, run your workspace, deliver notifications, and provide support for the Service you signed up for;
  • Legitimate interests, to keep the Service secure, prevent abuse and fraud, debug issues, and improve the product through high-level usage analytics;
  • Legal obligation, to keep records required by law (for example, tax records handled by Paddle as Merchant of Record) and to respond to lawful requests from authorities; and
  • Consent, where we ever ask for it explicitly (for example, optional communications). You can withdraw consent at any time.

Security

We take appropriate technical and organisational measures to protect your data. Traffic to and from DoppleDesk is encrypted in transit with TLS, data is encrypted at rest on our hosting provider, passwords are stored hashed (never in plain text), and access to production systems is restricted to a small number of authorised people using strong authentication. We monitor for unusual activity and patch dependencies regularly. No system is perfectly secure, but if we ever become aware of a breach affecting your data we will notify you and the relevant authorities as required by law.

Cookies

We use essential cookies to keep you signed in and to remember your preferences (like dark mode). We don’t use advertising cookies or cross-site trackers.

Retention & deletion

Closed tickets are automatically deleted according to your workspace’s retention settings (configurable from Settings → Retention). You can export your workspace data at any time from Settings → Export, and you can permanently delete your account and workspace from Settings → Profile.

Your rights

You can access, correct, export, or delete your personal data from inside the app. For anything you can’t do yourself, email support@doppledesk.com.

Changes

If we materially change this policy, we’ll let you know in the app or by email before the change takes effect.
